Donation Request Policy
Butterfly Pavilion is happy to support our fellow nonprofits, schools, and community organizations with donations. We receive an extremely high volume of donation requests throughout the year and strive to accommodate as many as possible. Please follow the guidelines and process below to submit your donation request.
What we donate:
Our customary donation is a 4-pack of one-day guest passes to Butterfly Pavilion. We do not provide monetary donations, gift bags, memberships or items from our gift shop. Passes expire one year from your event date and cannot be extended.
Applying for an in-kind donation:
All requests must be must be submitted on your organization, association, company or school letterhead or event flyer.
This document should contain the following:
##Description/mission of organization
##The organization’s 501(c)3 tax-exempt id number*
##Date, time and location of event
##How the item will be used (silent auction, raffle, door prize, live auction, etc.)
##The name, address, phone & email of the contact person for the organization
Items that must accompany your letterhead or event flyer:
1.*If your letterhead or flyer doesn’t contain the 501(c)3 tax-exempt id, then please provide a copy of your organization’s IRS letter or tax exempt certificate (either state or federal is acceptable).
2.We charge $4 to cover our administrative costs for the donation. A check for $4 written out to “Butterfly Pavilion” or $4 in cash will be accepted. The $4 must be received one month prior to the date of the event.
##The Butterfly Pavilion only grants in-kind donations to organizations that are classified by the IRS as a 501(c)3 tax-exempt.
##Requests must be received at least 4 weeks prior to the event date, in order to provide enough time to process the request and mail the passes.
##We honor one request per organization, per year. Double requests will not be processed.
##Donations cannot be given for reward or incentive programs.
##Please do not send duplicated requests to multiple Butterfly Pavilion employees or call to verify request.
##Please no phone calls and no in-person requests. (You are welcome to drop off a completed request complete with all the info outlined above and the $4 check/cash for processing)
##Once your request and the $4 payment are received, you will promptly receive your passes at the mailing address specified on your letterhead or event flyer.
##Failure to provide the above outlined information may result in denial.
